After installing the Documind
server and at least one client, you are ready
to import documents.
Documind uses archives to structure
its contents. You can create one
archive per subject that you deal with, or put all your documents
into
just one archive, depending on your needs.
Before creating an archive, you should consider the following
points:
- Who is supposed to have access to your archive? (the answer
to this
question may be decisive of whether or not to create more
than one
archive, in order to grant access to archives based on user
groups)
- Will you be needing additional index fields to classify
your documents,
or will fulltext search be sufficient, i.e.: will all information
be contained
within the documents that you import?
If you need additional information, like filenames for example,
you can
add them as a custom index to your archive upon creation
time. Documind
knows a variety of different index types, some of which
can be filled out
automatically during import:
- file name (with or without fully qualified path)
- user name
- pre-defined text (as defined by the administrator when
creating the archive)
- import date
- file date
- pre-defined date (as defined by the administrator when
creating the archive)
- file size (in bytes)
- pre-defined signed/ unsigned integer values (as defined
by the administrator
when creating the archive)
You may, of course,
make use of manual indices to be able to classify your documents.

an index needs to be filled out by the user (mandatory index).
